- The renter arranges tables and chairs for the event and decorates the hall. Decorating with confetti is not allowed as it stains floors, furnishings and equipment. Early access to the hall is not possible unless specifically agreed upon.

- Reset all equipment to original settings
- Turn off the power strip under the table
- Shut down the computer

Hlaðan doesn't rent outside office hours without staff present. Staff numbers for events are determined case-by-case, based on expected guests and event scope. Note that staff costs are not included in Hlaðan's rental fee.
Hlaðan staff responsibilities include:
- Staff remain in Hlaðan throughout the event.
- Staff assist renters with services:
- Help clear tables during the event. Staff are not expected to serve food or drinks.
- Make coffee.
- Heat up food.
- Help refill buffet and drink tables.
- Handle dishwashing and put away dishes.
- Keep premises tidy during events, including emptying trash, cleaning spills and restocking bathroom supplies.
- Oversee premises, equipment and other facilities.
- Provide guidance on audio-visual systems.
- Assist renters with cleanup if time allows.
- Ensure renters return the hall according to procedures.
- Ensure all Hlaðan equipment is in place before leaving.
- Staff are responsible for final checks, including closing windows, locking doors and activating the security system.
- Place an empty pot with pump on the coffee machine. Coffee pots are stored on the kitchen counter and on the bottom shelf of the cabinet next to the refrigerator.
- Add 2 liters of water to the coffee machine's top compartment. A blue water jug with measurement units is stored next to the second coffee machine.
- Place one coffee filter in the coffee compartment. Ensure the filter touches the metal sides to prevent it from collapsing when wet and grounds entering the coffee. Coffee filters are stored in a bowl on the kitchen shelf.
- Add two heaping measures of coffee to the filter. A white measure is kept next to the coffee pot.
- Turn on the coffee machine. Coffee will soon begin dripping into the pot. When coffee stops dripping, it's safe to remove the pot from the machine.
- Renters must bring their own coffee/tea and milk to events unless otherwise agreed upon beforehand.
Turning on
- Open the machine and ensure the filter is secure at the bottom. If loose, secure it by pushing down the plug (on the filter) and turning clockwise until it locks.
- Close the machine and hold the START button for several seconds until it begins filling with water.
- When the machine finishes filling and a steady green light appears on the start button, washing can begin. Dishware trays are to the right of the sink.
-
Select a wash cycle before starting the first wash. Press the triangle button until the light next to the small image of 2 plates illuminates. If this cycle is already selected, start the machine immediately.
- Rinse all food residue from dishes before placing them in the machine.
- Press the START button to begin the cycle. The wash cycle takes about 4 minutes. When the START button light turns green again, it's safe to open the machine and remove the dishware tray.
- Change the water if it becomes cloudy. Follow instructions to empty the machine, then repeat the steps to refill it.
Turning off/emptying
- Keep the machine closed.
- Press the triangle button until wash cycle "c2" appears on the display.
- Press the start button, immediately open the machine, and remove the plug by turning it counterclockwise. Close the machine again until the cycle finishes.
- The dishwasher turns off automatically after emptying.
- Microphones are stored in the cabinet under the table in the sound booth.
- Turn on the power strip under the table.
- Turn on the microphone using the button on the microphone itself.
- New batteries are in a labeled box in the top drawer under the table. Place used batteries in the marked box.
- Adjust volume using sliders on the sound mixer for channels marked "laus mic" (loose mic) and "master" (far right).
Connecting a projector to a computer in the hall
- The sound booth contains a box with cords, remote control, adapters and other items needed for projector connections.
- First, connect the computer to the HDMI port on the wall near the projector screen.
- Turn on the switch on the right wall of the sound booth (marked "SKJÁVARPI" (PROJECTOR)).
- A circular switch is above the projector switch. Turn and hold it to lower the screen.
- Turn on the projector using the "on" button on the remote control, stored in the box with the cords.
- The projector automatically detects the connected computer. If it doesn't work, press the "Source search" button on the remote control.
- The sound system is connected to the projector. The "HDMI" slider on the mixer controls the sound, but the computer's volume setting also affects it. See the sound system section for more information. To use the slide remote (stored in the same box as cords and remote), open its battery compartment and plug the USB dongle stored there into the computer.
- After use, put away all equipment:
- Turn off the projector using the switch in the sound booth.
- Raise the projector screen.
- Set all mixer sliders to the lowest position.
- Turn off the power strip for the sound system.
- Remember to remove the slide remote's USB dongle from the computer.
- Put all cords and accessories back in their place in the box.
To turn on the sound system:
- Ensure all mixer sliders are in the lowest position. The mixer is the device on top of the table in the sound booth
- Turn on the power strip under the table in the sound booth
- Turn on the top two amplifiers in the cabinet under the power strip
- The sound system is now on
- Control the sound by moving the mixer sliders up or down
- Labels below the sliders indicate what they control. Find the slider for the device you want sound from. To increase volume, move the slider up
- Raise the master slider (far right). The master slider controls volume for all connected devices simultaneously. If it's at 0, no sound will come through even if individual channel volumes are raised
To turn off the sound system:
- Move all sliders to the lowest position
- Turn off the amplifiers in the cabinet under the table in the sound booth
- Turn off the power strip on top of the amplifier cabinet
