The year was characterized by preparing major change projects aimed at simpler and more efficient services.
New systems and communication platform for the future
Preparation for two major core projects was the focus during the year: a new human resources and payroll system and a new communication platform to replace Workplace.
- Preliminary analysis of a new human resources and payroll system began in earnest at the end of the year with market research, a challenge framework and formation of a capable project team. The goal is to complete tendering, procurement and implementation in a short time.
- Analysis of the new communication platform included mapping usage of the current solution, interviewing stakeholders and power users, and conducting a staff survey.
The project teams were made up of people with great ambition and professional expertise, which resulted in focused and successful work.
Payroll Office service portal
The Payroll Office service portal was implemented during the year along with Jira as a work order system. All requests now go through a standardized process that provides good oversight and better statistics. Processing requests has become much simpler and the workload on the office has decreased significantly.
The project is still in development and next steps include integrating forms with the service portal so that managers can access everything in one place. This further increases efficiency in time, oversight and follow-up.
Among new services that were added are applications for fitness subsidies and commuting agreements. Staff can now apply for these benefits themselves, without manager involvement. The response was overwhelmingly positive, and the number of self-service applications exceeded manager-processed applications in less than two months.
Integration and streamlined processes
Integrating hiring processes has simplified work and improved data traceability.
- When hiring happens through Ráðný, 50Skills automatically creates a new employee in SAP and sends supporting documents to the SAP document cabinet.
- Along the way, a request is generated in Jira for the Payroll Office. The payroll officer now only needs to review the entry and request missing data instead of completing the entire process manually.
- When hiring is complete, all recruitment and job posting data automatically goes into documentation in Hlaðan. This reduces manual data entry work and ensures better standardization.
